Position Announcement
Utah Valley University is seeking an organized and proactive Administrative Assistant to support the National Security Studies Director and related initiatives. This role provides a dynamic opportunity to assist in diverse administrative functions, including budget monitoring, scheduling, inventory management, and database oversight. With responsibilities ranging from coordinating meetings and events to managing front office operations, the Administrative Assistant will play an essential role in ensuring efficient program and office operations. Additionally, the role supports the Director of the Deep Tech Talent Initiative Grant, contributing to impactful projects within the university. This position is ideal for a detail-oriented professional ready to apply specialized knowledge in support of UVU's academic and research missions.
Summary of Responsibilities
- Performs advanced and confidential administrative support duties, including composition of routine correspondence, answering phones and directing calls, meeting minutes, and financials; monitors budget and financial accounts for accuracy and adjusts as necessary. Maintains department website & social media accounts. Plans, coordinates, and executes center events with internal and external audiences.
- Coordinates the preparation and submission of various reports, new hire paperwork completion and submission, requisitions, purchase orders, travel requests (including Cyber 9-12 and DC summer seminar trips), expense reports, index tracking and reconciliations, budget balances, etc. Establishes, updates, and maintains files, inventories, ordering, receiving, billing, distributing, and miscellaneous expenditures.
- Informs students, faculty, staff, and the public of program and university services available. Responds to incoming calls and walk-in traffic while helping to maintain building security and ensure after-hour access is only available to appropriate faculty and staff.
- Performs other job-related duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with a bachelor's degree related to the Summary of Duties or any combination of education and/or experience totaling four years.
Preferred Qualifications
Administrative experience in an academic setting.
Knowledge / Skills / Abilities
Knowledge
- Knowledge of computer software applications, including Microsoft Office, databases (such as Banner), and social media.
- Knowledge of best practices in events, correspondence, and meetings with appropriate matters of etiquette in business settings.
- Knowledge of university policy and procedures.
