Clackamas Community College (CCC) seeks to hire a

Russian-bilingual ESOL Administrative Assistant
. This is a

limited term, part-time classified, non-union, non-exempt, and non benefits-eligible
position. The duration of this position is expected to be 12 weeks, and its purpose is to cover for the incumbent while they're on parental leave. Overview

This position is responsible for assisting with processes and office operations for ESOL & GED services at Harmony. Providing program information and support referrals for potential and current students, as well as supporting needs of college staff and faculty via telephone, email, and in person.

Essential Job Functions
  • Serve as first point of contact for visitors to the ESOL and GED Services Office. Provide information to students and public regarding various programs in Adult Basic Skills, which includes English for Speakers of Other Languages (ESOL), General Education Development (GED) in English and Spanish, and Adult High School Diploma (AHSD).
  • Perform general office duties, including answering phones, word processing, emailing, filing, maintaining files, duplicating documents, updating materials, distribution of materials and mail, arranging for repair of office equipment and computers, collecting and maintaining inventory of office equipment and supplies, and maintaining up-to-date bulletin boards.
  • Assist ESOL and GED students with making appointments, completing CCC applications, registering, adding/dropping classes, and other tasks, including administration of tests. Support referral process to college and community resources for ESOL and GED students. Call students about registration, testing, orientations, enrollment and attendance, as well as other outreach, as requested by office staff or department faculty.
  • Support Accountability through adherence of data collection procedures and accurate data entry into MS Access, Colleague, and other databases used for Title II reporting at the College.
  • Assist Adult Basic Skills (ABS) students in a computer lab environment, which includes tutoring for ESOL and GED as well as overall support for functions of the learning environment. Provide program support such as maintaining waitlists, maintain program records, tracking enrollment, and testing students. Respond to inquiries from ABS faculty and staff while supporting overall operations of the office, which may include translation requests.
  • Maintain knowledge of and adhere to College and Departmental policy and procedures, including careful adherence to privacy guidelines and confidentiality of student records and information.
  • Carry out other duties and/or project-based work as assigned and within the functions of the position.


Auxiliary Job Functions
  • Provide assistance to other college personnel as workload and staffing levels dictate.
  • Maintain proficiency by attending training and meetings, reading materials, and meeting with others in areas of responsibility.
  • Maintain work areas in a clean and orderly manner.


Qualifications



Minimum Qualifications

Any equivalent combination of education and experience which provides the applicant with the knowledge, skills, and abilities required to perform the duties as described. A typical way to obtain the knowledge, skills, and abilities would be: Associate's degree OR at least four (4) years of experience in an office. A Bachelor's degree is preferred. Demonstrated experience establishing and maintaining cooperative and effective working relationships with others

Must be bilingual in English and

Russian
.

Knowledge
  • Experience working with people who speak a language other than English and/or who have significant educational challenges
  • Knowledge of software applications including proficiency in word processing and email as well as basic knowledge of spreadsheet, database, and web-based tools in an office environment
  • Basic knowledge of FERPA privacy requirements


Skills
  • Oral and written proficiency in Russian
  • Skill in welcoming visitors and providing exceptional customer service in person and on the phone
  • Demonstrated excellent interpersonal and intercultural skills using tact, patience, and courtesy in an office environment serving ESL, GED in Spanish, and GED students
  • Must be dependable, adaptable and reliable.

Physical Demands of Position

While performing the duties of this position, the employee is frequently required to sit, stand, bend, kneel, stoop, communicate, reach and manipulate objects. The position requires mobility. Duties involve moving materials weighing up to 5 pounds on a regular basis such as files, books, office equipment, etc., occasionally require moving materials weighing up to 25 pounds, and may rarely require moving materials weighing over 25 pounds. Manual dexterity and coordination are required more than 50% of the work period while operating equipment such as an automobile, computer keyboard, calculator, and standard office equipment.

Working Conditions

Usual office working conditions. The noise level in the work area is typical of most office environments with telephones, personal interruptions, and background noises.

Supervisory Responsibilities

Supervision of others is not a typical function assigned to this position. May provide training and orientation to newly assigned personnel, and may assign work to student workers.

Works under the direction of the Title II Director or designee.
