Job Description
The Associate Director of Career Coaching & Operations plays an essential role in improving and streamlining the procedures, processes, and resources for the career coaching team. Working closely with the Director of Career Coaching & Education, this role contributes to strategic planning and ensures the effective delivery of services. The Associate Director is also responsible for the development and management of training and onboarding programs for Career Coaches and Career Educators, ensuring they are equipped to provide high-quality support to students. Additionally, this position helps maintain consistent operations and service delivery, particularly during staff vacancies, while fostering a collaborative and high-functioning team culture. The Associate Director will oversee a team of four, including one Assistant Director and three Career Coaches, providing leadership and strategic guidance to ensure the effective delivery of services tailored to their respective student populations.
Responsibilities
Supervision and Team Management
- Supervise and provide feedback to a team of four, including one Assistant Director and three Career Coaches, reviewing semester reports and conducting annual performance evaluations.
- Collaborate with the Director to maintain a positive and collaborative career coach culture, including developing standards and guidelines for coach supervisors and coaches.
- Manage team coverage during vacancies, ensuring uninterrupted service delivery, and assist with coaching appointments as needed.
Career Coaching Strategy & Operations
- Collaborate with the Director on the overall vision, strategy, and evaluation of the career coaching unit.
- Leverage career coaching data, analytics, and feedback to inform services and streamline team processes, procedures, and resource management.
- Assist the Director with reflection and planning meetings to review career coaching programming and program data from the past year. Help Career Coaches develop innovative programming and presentation content for the upcoming year, ensuring they are proactive thought leaders in career development.
- Serve as the liaison for Handshake and Salesforce, facilitating a coordinated approach to resolve career coaching concerns and ensuring proper setup and functionality of appointment blocks.
- Assist with file organization and management, ensuring efficient storage and accessibility of resources, particularly during the transition from Google to Microsoft.
- Co-facilitate career coach team meetings to promote collaboration and ensure effective communication within the team.
Training, Onboarding & Professional Development
- Contribute to the development and maintenance of training and onboarding programs for Career Coaches and Career Educators.
- Collaborate with the Division of Student Success Strategic Initiatives team on division-wide coach professional development efforts.
- Coordinate ongoing professional development and shadow opportunities.
- Oversee the process for Career Coaches pursuing promotion to Senior Career Coach, monitoring eligibility, providing guidance, and supporting the application process.
Collaboration & Campus Partnerships
- Provide coaching, training, and strategic guidance to Career Coaches on engaging with employers, faculty, and alumni to enhance student career opportunities and partnerships.
- Support the Director in cultivating and maintaining positive relationships with college partners to enhance career services and resources.
- Actively participate in internal CCDAE and university-wide committees to develop and implement strategic career services, resources, and campus partnerships.
Qualifications
Required Qualifications
- Education: Master's degree
- Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment visa status.
- Experience: Three to five years of professional experience in career services, higher education, or related industry role performing a variety of experiential learning or career activities and programming
- Knowledge, Skills, Abilities: Supervisory experience with full-time and/or student staff, including performance feedback and development; Knowledge of career development theories, coaching best practices, and university career services operations; Strong project management, organization, and attention to detail to oversee multiple initiatives; Ability to build relationships with students, faculty, employers, and campus partners to enhance career services; Proficiency in analyzing data to inform strategic decisions and improve career programming; Capacity to work independently and collaboratively to achieve departmental goals.
Preferred Qualifications
- Education: NA
- Experience: Experience at the Assistant Director level or equivalent leadership role
- Knowledge, Skills, Abilities: Knowledge of career services technology platforms such as Handshake, Salesforce, 12Twenty, and Microsoft Office Suite for data tracking and service management; Knowledge of curriculum development and instructional design principles for training and onboarding programs; Ability to develop innovative career programming that addresses emerging workforce trends and student needs; Experience planning, organizing, and executing small and large-scale events.
