Position Description
Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.
Major/Essential Functions
Assist CFR Director with creating infrastructure of CFR that is consistent with mission and goals. Plan and deliver Financial Planning Research Series with PhD Program Director to promote culture of research across disciplines. Oversee the collection and maintenance of records to utilize in Texas Tech University and state reports.
Coordinate various administrative tasks for KEY Outreach, such as printing and organizing presentation materials, and sending reminders to KEY student volunteers and agency partners. Input data related to KEY volunteers, including tracking training hours and presentation hours.
Assist in the procurement of catering for CFR events, which includes placing catering orders and completing required paperwork, including receipts and appropriate required forms.
Assist KEY with following proper SGA funding policies and procedures. Assist KEY officers in recruitment efforts to continue to develop growth in the KEY program. This include development of marketing materials, scheduling classroom visits, and overseeing the interview process along side the CFR Director.
Assist CFR Director in development of KEY Monthly CE Training. This development of materials, placing of food, securing meeting space, and potentially leading portions of the training. Act as staff support for the KEY Advisory Board. This includes scheduling meetings, placing food orders, and securing a virtual option as well for the meetings. Process CFR travel applications and vouchers (e.g., faculty, KEY students, speakers, etc. across all outreach initiatives.) Assist in the procurement of outreach initiatives supplies. This includes all KEY programming supplies, CFR Clinic supplies, and any other supplies to accomplish CFR programming.
Coordinate personnel associated with all outreach activities (including the Clinic), such as student assistants, volunteers, clients, community partners, etc. Maintain Clinic files including governing documents, administration, policies, and procedures. Provide coverage as needed for Outreach activities (e.g., Clinic office, KEY presentations and trainings, etc). Coordinate and support the research process associated with outreach activities (e.g., IRB applications for the Clinic, survey distribution, data collection and management) and grant writing/submission support for faculty and PhD students (working with faculty) under the guidance of the CFR Director.
Support the identification and pursuit of funding sources, including Federal and corporate grant applications, industry-sponsored research, and private donations to achieve the CFR's goals, including development support for the school's outreach and engagement efforts.
Support community partner relationship building and recruitment to generate and strengthen community partnerships and facilitate outreach and engagement opportunities. Support and execute the management of the financial literacy certification in coordination with iCEV. Support academic program recruitment opportunities connected to the CFR (e.g., iCEV financial literacy certification).
Coordinate the reporting process for outreach and engagement activities of the School via the CFR. Manage a comprehensive logistics tracking system, overseeing program documents, and maintaining regular communication
with partner universities to ensure deadlines are met efficiently.
Strategize and implement marketing initiatives to promote the program's success in accordance with identity guidelines, which includes contributing to content creation for press releases, social media posts, and newsletters, and keeping the website up to date. Development and maintenance of mailing lists. Purchasing marketing materials, promotional materials, Financial Planning Academy camp supplies. Foster the program's growth and achievement by actively recruiting high school participants, student workers, and professionals.
Required Qualifications
High school graduation plus five (5) years progressively responsible related experience; additional related education may exchange for the required experience on a year for year basis.
Preferred Qualifications
- Experience coordinating outreach or educational programs, particularly in a university or nonprofit setting.
- Strong proficiency in administrative software tools (e.g., Microsoft Office Suite, Google Workspace, database systems, and scheduling platforms).
- Excellent written and verbal communication skills, with experience developing marketing materials and handling stakeholder communications.
