Position Summary

Reporting to the Director of Prestigious Programs, the Executive Secretary provides administrative support for Campion staff at Rose Hill and Lincoln Center campuses.



Essential Functions

  • Assists in operational planning and day-to-day administrative operations. Manages office calendars.

  • Serves as first point of contact with the office: answers phones; greets in-person students, staff, and faculty; monitors the corporate email account and responds to email inquiries; directs candidates to information and advising appointments; distributes student intake forms.

  • Assists with outreach campaigns to students and alumni/ae: drafts and sends outreach and next steps emails, schedules mailings, tracks replies. Assists student workers with fliers. Creates and updates spreadsheets of potential candidates.

  • Provides administrative support for fellowship applications (e.g., Fulbright, Truman, Goldwater, Boren, Gilman, Critical Language Scholarship): drafts emails and interest forms, creates online files, gathers documents, pulls information from online systems, tracks student engagement, uploads supporting documents to fellowship portals.

  • Works closely with the Director and Associate Director to plan and carry out information sessions and events (online and on all campuses): schedules sessions, sends emails, tracks attendees, reserves location, orders food, fosters a warm and welcoming event.

  • Uses online systems (e.g., Finbuy, Finpay, Banner Finance) to order office supplies and track budget expenses in collaboration with the University Director.

Additional Functions

  • Creates and manages spreadsheets of faculty and staff who support the fellowship process; drafts letters of recognition for them.

  • Schedules in-person and zoom meetings for Campion staff with campus and external stakeholders, books rooms and creates zoom meetings.

  • Makes travel arrangements for University Director and other Campion staff to attend meetings and conferences, acts as delegate for monthly expenses on corporate cards.

  • Provides research support and reports to Campion staff as needed.




Required Qualifications: Education and Experience

  • High school diploma or equivalent

  • Higher education experience

  • Demonstrated Writing Ability

  • Mandatory Competency Testing.




Required Qualifications: Knowledge and Skills

  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Suite (mail, docs, sheets, slides, calendar, forms, drives).

  • Familiarity with Banner Student, Banner Finance, Banner Administrative, Concur, Finbuy/Finpay.

  • Willingness to learn and adapt to new technologies, e.g., FMP, Hub, Blackboard, fellowship portals, Terminal4.

  • Strong communication and interpersonal skills, including solid proofreading skills.

  • Flexible self-starter who can work independently.

  • Team player present for and attentive to the busy periods and deadlines for student fellowships.

  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
