Position Summary

Reporting to the Director of Career Advising and Undergraduate Program, the Executive Secretary, Lvl 5, provides comprehensive support to the Personal and Professional Development Center (PPD) unit at both Rose Hill and Lincoln Center.



Essential FunctionsÂÂÂÂÂÂÂÂ

  • Serves as receptionist for students, alumni, and employer meetings with the PPD team.

  • Creates, tracks, and analyzes resume books for jobs and internships, follows up with employer requests, and coordinates student interviews as needed.

  • Manages PPD communication with students regarding jobs, internships, employer events, and PPD events. Respond to student inquiries.

  • Coordinates and manages Gabelli PPD events and workshops: books rooms, arranges for catering and event resources as required (a/v, handouts, etc.), creates events on Gabelli Access, manages student registration, event sign-in, and attendance.

  • Creates and updates PPD event tracker each semester.

  • Assists with the collection and reporting of employment and internship outcomes.

  • Helps manage the PPD grad assistant if applicable.

  • Creates and updates PPD presentation materials and other documents as assigned, using Word, PowerPoint, Excel, and other appropriate software.

  • Edits, fact-checks, proofreads, and helps conceive marketing and PPD promotional materials, including but not limited to web copy, emails, e-newsletters, event programs, brochures, and flyers.

Required Qualifications: Education and ExperienceÂÂÂÂÂÂÂÂ

  • High School diploma or equivalent

  • Minimum of 1 year of work experience in an academic, business, or other office setting.

  • Mandatory Competency Testing




Required Qualifications: Knowledge and SkillsÂÂÂÂÂ

  • Proficiency with Microsoft Word, Excel, and PowerPoint

  • Excellent communication skills

  • Attention to detail

  • Strong relationship builder, excellent teamwork skills and, able to relate well with others and work collaboratively, especially with students.

  • Ability to think critically, be self-motivated, plan and organize multiple projects simultaneously, meet deadlines

  • Ability to anticipate challenges and have excellent organizational skills.

  • Strong work ethic




Preferred QualificationsÂ

  • Bachelor’s degree.



  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
