Position Description
Performs varied and complex administrative duties in the management and coordination of a large specialized project and/or program. Requires independent judgment and application of established policies and procedures. Works under general supervision with evaluation based on overall results obtained.

Major/Essential Functions
Support the Department as follows:
  • Financial management to include budget planning, preparation and analysis of how best to utilize department resources and proper execution of revenue tracking and deposits. This includes the annual Budget Prep process for the department.
  • Monthly/quarterly reconciliation of accounts.
  • Monthly payroll verification and FOP reconciliations - run the HR005 monthly on the 1st, 10th and 25th to verify salary payments are correct.
  • Conduct or oversee research grant financial coordination and provide quarterly new faculty startup research funding reports to faculty and college.
  • Serve as the Employment Services Coordinator (ESC): manage employment appointments to include preparing ePAFs and creating and/or reclassifying positions as needed. Responsible for the timely and accurate processing of ePAFs, new hire onboarding, labor/future distributions
  • Manage Differential Tuition and Special Instruction Fees (SIFs) to include processing fee reports and ensure that fees are appropriately charged and utilized per term.
  • Execute and/or oversee the complete process of the following: budget revisions, cost transfers, job labor(re) distributions, manual check requests, research participant pay, EOPs, procurement card reconciliations, travel applications/vouchers
  • Manage new faculty startup package requests and complete the required reporting to the college.
  • Annual endowment reporting on finances to college

Support the Department Chair to include the following:
  • Research, compile, and prepare reports, correspondence, or other information as required by the department and/or college
  • Coordinate and plan for semester to semester personnel appointments for all to include GPTIs, TAs, RAs, SAs. GAs, work study
  • Assist Department Chair with projects as requested

Support the Department Faculty & Staff as needed for the following:
  • Serve as primary staff support for department chair, associate chair, and program directors.
  • Coordinate office space assignments, coordinate office furniture, telecommunication set up/moves, key requests, room requests, etc.
  • Travel arrangements to include processing of travel applications and vouchers - maintain and organize official travel files.
  • Manage faculty and staff records and files
  • Supervise staff and provide assistance and troubleshooting when needed. Ensure that staff meet their deadlines and follow proper university operating procedures.
  • Efficient and appropriately handled tasks as assigned.
  • Coordinate/Approve Leave Requests and review/approve web-time entry for non-exempt staff, hourly student employees, and faculty sick leave

Other Assigned duties:
  • Attend various meetings (take notes) to stay abreast of new processes or changes of TTU policies, etc. DCASNR quarterly senior staff meeting, Quarterly Financial Meetings with the Office of the Dean, Procurement Forums. Notify office faculty and staff via email of any major changes in policies or procedures.
  • Assist as back-up with greeting visitors, answering requests, and managing phone calls
  • Serve as or oversee the appointment of Emergency Action Coordinator. Maintain current emergency contact information for the department, attend College emergency meetings, and comply with safety policies and procedures.




Required Qualifications
Bachelor's degree in the area of specialization or closely related field. Three years of related administrative and technical experience. Additional job related education may be substituted for the required experience on a year-for-year basis.
