Position Description
Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions
  • Responsible for financial processes including but not limited to: reconciliation of Procurement card, Purchasing, department budget (Budget Prep, regular reporting, travel, and various revisions).
  • Responsible for general office administration including but not limited to: office supply inventory, regular property inventory, maintain office equipment, assist with payroll processes, and submit various departmental requests (work orders, key/card access, nametags, business cards, surplus, etc.).
  • Serve as a representative for the department at campus events (Admissions events, TechSpo, Welcome Week, etc.) and serve on university committees.
  • Maintain a knowledge of general administrative and clerical procedures that align with the university. Attend training regularly in order to update the department on policy change.
  • Responsible for frontline department communication (phone calls, emails, and walk-ins).
  • Responsible for personnel file processes and maintenance for staff (full-time and part-time). This includes: ePAFs, new hire paperwork, and Kenexa processes.
  • Supports various Learning Center/Supplemental Instruction and Academic Innovation and Student Success Initiatives as needed (ex: Presentation scheduling).


Required Qualifications
Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.

Preferred Qualifications
The ability to apply general rules to specific problems. Being open to change and to considerable variety in the workplace. Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems. Experience in a post-secondary education setting in a clerical, secretarial or
administrative role. Excellent written and verbal communication. Attention to detail a must. Familiarity with Microsoft Office 365.
