PURPOSE:
Under the general supervision of the Cashiering and Student Accounting Services Manager, the Cashier and Customer Service Specialist provides a variety of administrative and support services for Student Financials, receives and distributes payments, and act as a front-line contact assisting a steady stream of customers, current/prospective students, staff, faculty, parents and community members. Works in a high-volume, high-touch department with phone, email and in-person communications.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
- Communicates established university policies and procedures to current/prospective students, staff, faculty, and the general public regarding student accounts, obtaining clarification from others when more extensive interpretation is required. Interprets, applies and explains State and University policies and procedures to clients, external agencies and the general public. Explains account details to students, faculty and staff. Addresses and resolves a wide range of common and unique problems using reasoning and judgment. Implements practical, thorough and creative solutions requiring in-depth knowledge of the University and pertinent regulations, processes and structures. Attends resource fairs and other university wide events to educate established university policies and procedures.
- Performs general cashiering duties including processing a high volume of tuition related transactions; ensures student registration eligibility and calculates fees and tuition. Receives payments and ensures compliance with internal control procedures and reconciles accurately on a daily basis. Maintains files and records.
- Meets with students and/or parents to resolve student financial and course registration holds, using in-depth knowledge of the various hold programs and processes at the university. Maintains confidentiality as outlined in Department of Education's Family Educational Rights and Privacy Act and California's Educational Code Chapter 13 regarding sensitive student issues.
- Produces ID Cards for CSUMB students, staff and faculty. Assists with questions regarding meal plan balance inquiries and other issues related to the ID card.
- Distributes payroll checks and reimbursements to students, staff and faculty.
Other Functions:
- Cross-trains staff and supervise student assistants.
- Reviews web pages and make recommendations for updates.
- Performs other job-related duties and special projects as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Working knowledge of: Comprehensive knowledge of financial record-keeping, mathematical and general office methods, procedures, and practices; and basic knowledge of Generally Accepted Accounting Principles (GAAP).
Ability to: Must be able to apply accounting procedures and practices to the analysis of basic accounting problems; analyze and interpret accounting data; apply problem solving techniques in finding solutions to basic accounting problems; understand and apply applicable rules, regulations, policies, and procedures; use current computer word processing and spreadsheet software programs, web browsers, query tools, integrated financial systems and/or other types of records management systems, such as student accounting, cashiering and student financial aid; work independently; and make sound decisions and recommendations regarding accounting activities.
MINIMUM QUALIFICATIONS:
Experience: Equivalent to three (3) years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities.
Education: Any equivalent combination of education and experience which provides the required knowledge and abilities.
SPECIALIZED SKILLS:
Technical fluency with Excel and Word; skilled in analysis and evaluation leading to the development or improvement of accounting policies, procedures, and/or practices. Experience with information systems preferably Peoplesoft/Oracle Student Financials or equivalent student financial system and experience running and/or creating reports. Strong customer service orientation.
PREFERRED QUALIFICATIONS:
Experience in an educational environment, preferably in student support services work. Specialized training in administrative/clerical support. Equivalent to four years of general office clerical work experience under general supervision which has involved supporting, monitoring, coordinating clerical work through a system of internal procedures and internal controls to ensure the efficient operation of an organization and demonstrated knowledge and abilities. Knowledge of and experience with Microsoft Word, Excel, PeopleSoft (student records and accounts), CashNet (cashiering system), CBORD (declining balance system). Bilingual desired.

- May require occasional evenings and/or weekend work.
PHYSICAL ENVIRONMENT:
Office environment with standard equipment and tasks. The position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
