Job Description:
The Administrative Specialist is a student facing position that will provide administrative support to the Office of Career Services (OCS). The position serves as the initial point of contact for the office greeting students and visitors, answering the phone, and monitoring and answering emails. The position will assist with scheduling and maintaining calendars; making travel arrangements; completing financial transactions; ordering food and office supplies; providing support for OCS events and programming and providing support for student interviews. This role will enter student information into tracking systems, upload documents, post jobs to the OCS career management system and email lists and help coordinate student interviews with outside employers.
This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.

Responsibilities:
- Provide a range of administrative support to the staff in the Office of Career Services suite. Serve as the first point of contact for students, faculty, staff, and outside employers in-person, by phone, and on email; be able to answer or route questions from those who visit our office; must provide high level of customer service.
- Office duties may include answering and managing phone calls; greeting and assisting faculty, staff, students, and visitors; creating, completing, and managing documents including appropriate filing; ordering supplies; reserving space, and coordinating meetings; opening and closing the OCS Suite during University business hours.
- Assist Career Services leadership with editing and revising office correspondence and processes including weekly newsletters. event emails and job postings.
- Work with and on behalf of students to schedule meetings or interviews, assist with the on-campus / on-camera interview program (OCI) and coordinate all steps of that process which includes managing resumes, scheduling with outside legal employers, reserving interview rooms, and professional and timely communication with all parties.
- Order catering or other supplies and assist with associated financial forms.
- Provide a first level of information to students on where to find answers and resources.
- Organize OCS events which includes room reservations, creating Zoom links, creating, and posting flyers to social media pages and around Dineen Hall, ordering food from Campus Catering or outside vendors, and posting to 12Twenty and Guidebook.
- Check LinkedIn daily for student and alumni updates while actively engaging with their posts.
- Complete all necessary financial paperwork related to office operations including requisitions, Interdepartmental forms, purchase orders, travel reimbursements, and credit card reconciliations.
- Work with the College of Law Budget and Operations office as necessary to ensure timely submission of reconciliations and accounting paperwork.
- Other duties as assigned.
