Assistant Registrar, Course Scheduling

Job Summary
The Assistant Registrar, Course Scheduling serves as part of the Records and Registration Management Team. Oversees the University course inventory within the student information system, which includes Banner catalog, maintains the University's course scheduling platform, Courseleaf CLSS, and provides oversight for other applicable systems.

Job Description

Typical duties may include but are not limited to:
  • Serves as part of the Records and Registration Management Team.
  • Oversees the university course inventory within the student information system, which includes Banner catalog, course scheduling, and classroom management.
  • Manages the formulation, coordination and implementation of the academic side of Series 25.
  • Utilizes Cognos reporting to analyze section and enrollment trends and troubleshoot space and scheduling issues.
  • Directs maintenance of course change records and trends and statistics of the same.
  • Assists the University Registrar in the establishment of course scheduling policies that align with the institution's mission, promote equitable access to academic resources, and adhere to industry best practices.
  • Represents the Records and Registration on various University committees, such as the Course Scheduler's Forum.
  • Develops budget recommendations.
  • Participates in budgetary planning for the programs assigned to the position.
  • Analyzes and interprets enrollment data to identify trends, forecast space requirements, and propose schedule adjustments to optimize academic offerings.
  • Facilitates communication with college representatives and department schedulers to ensure alignment and adherence to scheduling policies and timelines.
  • Provides training and support to faculty, staff, and other stakeholders on the use of scheduling tools and compliance with scheduling policies.


Other Duties:
  • Works with all departments throughout the University and outside agencies as needed to accomplish the goal of providing superior service to the University's clientele.
  • Performs other duties as assigned.


Additional Job Description

Required Qualifications:
  • This position requires either eight years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in a related field and four years of full-time experience directly related to the job functions.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Access, PowerPoint, Publisher and Outlook).


Preferred Qualifications:
  • Master's Degree from an accredited institution in Student Personnel Services or Higher Education.
  • Experience with Banner Student module, Cognos, Tableau, Courseleaf, and CollegeNet's Series 25.
  • Directly related professional work experience in higher education Registrar's Office.


Knowledge, Skills, and Abilities:
  • Excellent communication skills both verbally and in writing.
  • Must be creative and enthusiastic and possess a demonstrated commitment to providing client centered service.
  • Ability to operate a personal computer and use MS Office (Word, Excel, PowerPoint, Access).
  • Knowledge of FERPA and state regulations.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.
