Job Description
JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Assistant Director assists in providing financial oversight for the finance and administrative activities in the Departments of Preventive Medicine, Radiation Oncology, and Physician Assistant Studies. This position monitors, analyzes, and tracks fiscal and human resources commitments and budgets. The position interfaces with the Office of Sponsored Programs, Finance and Administration, investigators and staff on all aspects of post-award and budget administration.


Responsibilities
DUTIES AND RESPONSIBILITIES:
  1. Monitors and manages compliance with grants throughout the life cycle including all post-award administration.
  2. Reviews incoming awards; identifies and manages all reporting deadlines; advises on allowable uses of grant funds; analyzes issues of cost appropriateness; develops indirect cost analysis.
  3. Prepares probable budgets and monthly expenditure reports for the Chair(s), Director, Division Directors and Principal Investigators.
  4. Manages and maintains the department's master grants inventory schedule.
  5. Completes accurate and timely budget modifications and required annual reconciliation reports.
  6. Collaborates and analyzes with Principal Investigator/Research Manager budget vs actual report on a quarterly basis.
  7. Ensures expenses incurred are within the approved budget and adheres to grant terms and conditions, donor regulations, and policy and procedures.
  8. Analyzes and recommends improvement to the current tracking system for yearly and multi-year faculty commitments (startup accounts, F & A departmental funds, departmental allowances).
  9. Monitors balances on restricted, state and gift accounts; develops yearly budgets and probables for recurring state accounts as well as local, state, and federal sponsored projects.
  10. Review and share budget to actuals with faculty on all discretionary accounts.
  11. Utilizes financial and business analyses to devise models, ratios, and benchmarks to meet financial management needs.
  12. Assists with personnel management including creating/updating position description questionnaire, coordinating with the HR Coordinator on position approvals and postings, salary recommendations, and supervision of subordinate staff.
  13. Verifies and signs biweekly/monthly payroll reconciliations.
  14. Performs other duties as necessary.

Qualifications
MINIMUM REQUIREMENTS:

EDUCATION: Bachelor's Degree in Accounting, Finance, or a related field. (TRANSCRIPT REQUIRED).

EXPERIENCE: Five (5) years of related experience; OR Master's Degree and three (3) years of related experience.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge of general accounting principles and strong analytical and problem-solving skills are required.
  • Knowledge and experience with sponsored projects activities, grants and contract administration.
  • Excellent understanding of Federal guidelines and compliance requirements.
  • Ability to handle multiple projects simultaneously and meet established deadlines.
  • Excellent organizational skills and attention to detail.
  • Familiarity with basic computer systems and computer spreadsheets.
  • Ability to utilize various software efficiently including Microsoft Suite.
  • Excellent interpersonal, verbal and written communication skills.


WORK SCHEDULE: This position may occasionally be required to work weekends and evenings.
