About the Department:
Development and External Affairs (DEA) supports SMU by securing funding for University priorities; by promoting meaningful involvement in the life and work of the University; by heightening international, national, state and local awareness of SMU; and by supporting the enrollment of a diverse and able student body.
DEA comprises the offices of Office of the Vice President, Annual Giving and Alumni Relations, Development Services, Program Services and Donor Relations, Marketing and Communications, Principal and Major Gifts, and School and Project Development.

About the Position:
This role is an on-campus, in-person position.
The Development Services Coordinator provides essential administrative support to the multiple teams that comprise the Development Services department.
Primary responsibilities include the planning and coordination of meetings and departmental functions, scheduling assistance for the Associate Vice President of Development Services, compilation and maintenance of process documentation, and management of the Development Services helpdesk by phone and email.
The Coordinator also assists in the monitoring of departmental budgets, management of vendor contracts, maintenance of departmental intranet site content, procurement, and travel arrangements.
Essential Functions:

Management of the Development Services Help Desk: In partnership with other designated Development Services staff, provide prompt and effective responses to incoming requests and inquiries, routing them to the appropriate resource in consultation with the Development Services Operations staff. Document requests for tracking and oversight by the Operations team.

Planning and Coordination of Meetings: Schedule meetings by coordinating attendee calendars and reserving meeting spaces. Assist with the preparation of presentation materials and meeting agendas. Prepare presentation equipment when necessary. Take and distribute meeting minutes and provide other logistical support as needed.

Management of Vendor Contracts: Facilitate approval and renewal process for Development Services vendor contracts. Serve as primary point of contact with SMU Accounts Payable, facilitating payment of invoices and collection of vendor information as needed. Liaise with the Office of the Senior Vice President of Development & External Affairs, SMU Legal, SMU Business & Finance, and other stakeholders as needed.

Compilation & Maintenance of Process Documentation: For training and reference, compile process and protocol documentation provided by Development Services staff in appropriate systems. Provide reviews for grammar, clarity, and consistency. Manage system by which staff are prompted to regularly update and review these documents.

Monitoring of Departmental Budgets: Provide routine reviews of departmental budgets in partnership with leadership in each Development Services unit. Ensure that expenses are appropriately allocated. Alert department/unit leadership to potential issues and provide assistance with adjustments as needed.

Calendar Management: Provide real-time scheduling support to the Executive Director of Development Services by booking and rescheduling appointments to prevent conflicts. Consistently communicate with the Executive Director to make scheduling adjustments when needed and assist in preparation for scheduled items by reviewing, compiling, and distributing meeting materials.

Other Duties: Maintain departmental intranet site content in partnership with leadership of each Development Services unit. Maintain Development Services department and unit contact lists. Provide support in the development of reports as requested. Coordinate departmental supply orders. Book and adjust business travel arrangements for Development Services staff. Carry out other administrative duties as required.
Qualifications
Education and Experience:
A high school diploma or equivalent is required. Bachelor's preferred.
A minimum of two years of work experience is required, preferably in an administrative support role.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong verbal and interpersonal communications skills to effectively interact with a wide range of constituencies in a diverse community. Must also demonstrate a strong customer service orientation.
Candidate must demonstrate strong written communication skills with ability to produce error-free written communications. A strong focus on attention to detail is essential.
Candidate must have strong time management, organizational and planning skills with the ability to multi-task in a fast-paced, team environment. Must also possess strong problem-solving skills with the ability to be resourceful, proactive, and seek assistance as needed.
Candidate must demonstrate proficiency in Microsoft Office Suite. Experience with and/or a working knowledge of one or more of the following is preferred: Concur, Docusign, Adobe Acrobat Pro, and/or Salesforce.
