Job Summary:

The general function of this position is to provide administrative support to providers and fellows in the Department of Neurology. Administrative support includes literature searches, making travel arrangements, preparing grant applications, documents and letters, proof reading, assisting with manuscript preparation and reference management and maintaining patient databases. Organizing and scheduling conferences and meetings, assisting with keeping credentialing and licensing up-to-date. This position requires a high level of attention to detail and the ability to prioritize and multi-task.

Key Responsibilities:

Administrative Support:
  • Analyzes, evaluates, develops, and implements work processes to achieve program efficiencies and deliver needed services effectively.
  • Organizes and establishes work processes to provide support to management, ensure the delivery of designated services, and implement rules, regulations, policies, and other guidelines as prescribed by management to achieve program objectives.
  • Provides administrative and operational support to the section chief, providers, and section program director.
  • Enter and maintain data in department databases (e.g., FileMaker Pro, Microsoft Access and Excel).
  • Arrange and manage University-mission related travel for providers, fellows, and prospective employees (e.g., event registration, travel reimbursements, flight, lodging and transportation, etc.).
  • Assist with re-credentialing; maintain licensure, DEA verifications, and tracking continuing medical education (CME) credits.
  • Supports the Neuroimmunology/Multiple Sclerosis Section in coordinating and maintaining provider calendars (i.e., meetings, Med-Legal consultations, closing clinic schedule during vacation and conference days).
  • Prepares and updates providers' CV's, dossiers and biosketches.
  • In collaboration with manager, develops PowerPoint presentations and adds additional content/detail based on providers' descriptions and suggestions. Responsible for accessing several databases and viewing various data.
  • In collaboration with manager, analyze current processes, creates and maintains process flow maps.
  • Arrange meetings and conferences as needed (i.e., room reservation, catering, agenda, flyer and/or handout preparation, projector/computer setup, taking meeting minutes, etc.).
  • Coordinate and liaise consulting and med-legal efforts between providers and outside agencies.

Academic Support:
  • Proofread, format, transcribe and prepare manuscripts, grant applications, documents and letters.
  • Assist with reference management in manuscripts and grant applications.
  • Literature searches via PubMed and Health Sciences Library.
  • Submit and update memberships and subscriptions.
  • Other duties as assigned

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Entry-level Professional
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

Professional
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

One (1) year of experience serving in an administrative or office management role

Senior Professional
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • Two (2) years of experience serving in an administrative or office management role

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • 4 years of experience working in an academic medical office environment supporting clinical faculty
  • Experience with EndNote or other reference management software
  • Experience coordinating meetings including providing concise written documentation

  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as:

Entry Level Professional: $51,437 - $65,428

Intermediate Professional: $55,975-$71,201

Senior Professional: $60,514-$76,974

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
