About the Position:
This role is an on-campus, in-person position that reports to the Associate Provost for Faculty Success.
This role supports the administrative faculty process: hiring, contract letters, termination, leaves of absence, retirement, performance assessment, salary and merit determination, tenure and promotion, workload documentation and financial processing of internal awards. The position supports the strategic priority goals of creating greater efficiencies in business processes associated with campus-wide initiatives to create digital, centralized, and standard systems (Interfolio use for promotion, tenure, and hiring; faculty activity reporting; adjunct faculty on-boarding; and monitoring faculty administrator contracts. This position provides workshop support for School/College Executive Assistants and administrative support for the Associate Provost in scheduling individual and campus-wide events, preparing presentation materials, and managing basic administrative communications.
Essential Functions:

Compile and maintain data integrity on all full-time faculty. Work across university units (e.g., Human Resources, University Decision Support, Office of Information Technology, the Provost Office, and School/College administration) to improve the quality of faculty data and use. On an ongoing basis, update and improve the digital storage of faculty data, including using queries for better understanding and sharing of faculty data.

With strong growth in centralizing data systems and shared business processes, supports all School/College administrative support teams (dean/dept assistants) for purposes of a) providing on-boarding training, b) ensuring quality control of university faculty data, c) providing policy explications, and d) maintaining centralized record-keeping of faculty searches, leaves and credentials.

Verify faculty employment contracts, payroll authorization forms, receipt of transcripts, necessary university forms for employment by new faculty, and extra compensation payments; confirm that contracts are accurate and consistent with internal policies; serve as liaison between Office of the Provost and School/College executive assistants when problem/solutions arise.
- Coordinate event logistics, including room reservation, AV, catering, invitations, and RSVP lists for the following campus-wide events: General Faculty meetings, December and May graduation breakfasts, New Faculty Orientation, monthly (8 months/year) Department Chair Lunch and Learn events; Annual Department Chair retreat; and Promotion & Tenure meetings.

Gather information from each school/college on an annual basis concerning faculty positions, titles, and promotions. Keep records in PeopleSoft up-to-date on faculty title changes. Maintain all records in ImageNow. Follow the Records Retention Schedule for Faculty Affairs.
Qualifications
Education and Experience:
A Bachelor's degree is required.
A minimum of five (5) years of experience is required. Experience in higher education and administrative support is highly desirable. Experience with database management systems is strongly preferred.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.
Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
Candidate proficiency with computer applications that allow efficiency in an office that processes large amounts of data is essential.
Candidate knowledge of a variety of computer programs such as MS Word, Excel, PowerPoint, PeopleSoft, ImageNow, and Tableau is a plus.
