JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 provides administrative support for the Relative Caregiver Program under the supervision of the Program Administrator and Pediatrics Finance & Administration Leadership. This position handles new family intakes, managing the program waitlist, and updating the Program Manager on status. The position also involves assisting with office tasks, monitoring the front desk, answering calls, processing data entry, maintaining office supplies, and communicating with program families and Family Advocate Counselors.


Responsibilities
DUTIES AND RESPONSIBILITIES:
  1. Serves as the primary point of contact for visitors, managing inquiries and referrals, and ensuring efficient front desk operations.
  2. Conducts the intake process for new clients, ensuring accurate completion and submission of documents.
  3. Maintains and updates the program waitlist in SharePoint, provides weekly updates, and collaborates with the Program Administrator to assign new cases.
  4. Compiles monthly and quarterly reports on intake and the waitlist for submission to the Department of Children's Services (DCS).
  5. Coordinates program events such as conferences, seminars, activities, and routine meetings, as well as recording and maintaining accurate minutes for all program meetings.
  6. Supports the Relative Caregiver Program Administrator in preparing and submitting weekly, monthly, quarterly, and annual program reports to the state.
  7. Assists with managing office supplies and completing other assigned tasks.
  8. Retrieves incoming mail and distributes it to the appropriate staff members.
  9. Performs other duties as assigned.

Qualifications
MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative support experience; OR Bachelor's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge of community resources and social programs.
  • Strong communication abilities, including customer, client, vendor, telephone, written, and electronic correspondence.
  • Experience in computer applications, including Windows XP, Microsoft Access, Excel, Word, SharePoint, and PowerPoint.
  • Ability to work both independently and as part of a team.
  • Strong communication skills, organizational abilities, and knowledge of relevant policies and procedures are required.

WORK SCHEDULE: This position may frequently be required to work weekends and evenings. May require occasional overnight travel.
