Detailed Description:
The Student Onboarding Program Coordinator is responsible for the coordination and implementation of new undergraduate student orientation, including program development and implementation for the fall new student student pre-arrival and fall orientation experience and spring orientation for first-year and transfer students. Responsible for collaborating with cross-divisional stakeholder areas to produce a quality orientation program. Performs complex administrative and program coordination work for the fall new student orientation and spring orientation; manages logistics and implementation of fall orientation; develops and implements electronic and social media components of orientation; ensures cohesive and effective distribution all pre-orientation materials in partnership with the Parent & Family Relations office; maintains the orientation website and related web links; maintains Guidebook App New Toreros Guide; and recruits, selects, and trains student leaders to support fall and spring orientation programs. Collaborates frequently with Undergraduate Admissions and University Creative Services to develop and coordinate communication to new students during pre-arrival. Periodically, this position may be asked to lead or contribute to either ad hoc or ongoing division/campus projects outside the scope of their day-to-day activities.

Duties and Responsibilities:

Fall Orientation Implementation:
  • Responsible for the implementation of all logistics components of the Fall orientation weekend, including confirming the program schedule, delegating event responsibility, determining space allocations, and providing direction to Catering and Facilities Management on all elements of food, set-ups, and custodial services.
  • Maintain strong collaboration and partnerships with Residential Life , Community & Leadership Development, and Learning Communities to integrate the orientation programs with the new student residential/commuter & Learning Community experience.
  • - Maintain strong collaboration and partnership with the Office of Parent and Family Relations to ensure family members and supporters participate in a robust and informative orientation experience.
  • Serve as key team member on move-in and welcome team committees. Provides input to the move-in process and Radical Hospitality team.
  • Collaborate and maintain strong partnerships with Mission Integration, Student Wellness, the Changemaker Hub, and The Commons to ensure mission, values, and critical wellness and DEI initiatives are thoughtfully incorporated into the orientation experience.
  • Initiate the planning and scheduling of complex events hosted in athletic facilities during OL! Weekend (orientation), including securing production elements and ensuring collaboration and follow-through with Athletics Operations staff.
  • After coordinating with the Assistant Director of Student Onboarding, implement the logistics for the following events in collaboration with the named stakeholders:
  • Associated Student Government Executive (ASG) Board to design and implement the large social event for all new students during Fall orientation.
  • Student Activities and Involvement on population-specific events and initiatives, such as First-Generation events.
  • Provide design and content direction to University Communications to produce branded materials for the orientation weekend. Recruits, trains, and supervision of approximately 12-20 student leaders to support the implementation of the fall first-year student orientation experience (OL! Team) including fostering a strong collaboration with other key student leader groups (RAs, SAs, CAs).
  • Responsible for assessing the program under the direction and guidance of the Assistant Director of Student Onboarding, Director of New Student Programs, Associate Dean and Director of Student Success, Associate Dean of Assessment & Research, and the AVP & Dean of Students.

Pre-Arrival:
  • Collateral and Communication
    • Responsible for maintaining the New Toreros website in collaboration with the College of Arts and Sciences, Learning Communities, and Admissions.
    • Supervise the implementation of the "Welcome to USD" mailing for deposited students. Collaborate with Admissions, Parent and Family Relations, and University Communications on design, content, and follow-through.
    • Supervise social media strategy to inform and engage students before orientation. Provide work direction to the Graduate Assistants for implementation.
  • Summer Orientation Components
    • Ensure follow-through and implementation of the pre-arrival asynchronous orientation modules. Serve as main contact and manager of the platform (i.e., uploads, responding to student concerns, etc.).
    • Maintain the logistics for all online pre-orientation elements. Manage students access to Canvas Course and Guidebook. Collaborate with Student Wellness and The Commons to ensure seamless distribution of online wellness and DEI modules.

Spring Orientation Implementation:

  • Collaborates with the Assistant Director of Student Onboarding in designing and implementing the spring orientation program (serves approximately 200 first-year and transfer students).

Fiscal Stewardship:
  • Helps maintain Orientation budget, assisting with direct reconciliation, tracking, and following through on all charges, purchases, and interdepartmental transfers.
  • Presents orientation budget reports and updates to the Assistant Director of Student Onboarding on an as-needed basis.

Additional Responsibilities:
  • Be informed, knowledgeable of, and follow current University policies and procedures.
  • Maintain orientation filing system, including invoices, receipts, and archives.
  • Maintain knowledge and involvement with current and emerging practices and professional associations (particularly National Orientation Directors Association (NODA), and National Resource Center for The First-Year Experience and Students in Transition).
  • Serve as a member of the Student Leader Recruitment & Training Committee
  • Serve as co-instructor for an undergraduate three-unit, credit bearing course including for 5-7 Scholastic Assistants (includes grading assignments, providing feedback on theoretical leadership connections, hosting office hours, and program supply purchasing)
  • Other duties as assigned
  • Contribute to or lead additional divisional/campus projects outside of typical duties to help further accomplish student or organizational goals. Additional assignments may be seasonal, ad hoc, or ongoing, depending on the project.

Special Conditions of Employment:

Occasional evening and weekend work hours may be required.

Job Requirements:
Minimum Qualifications:
  • Bachelor's degree required.
  • Two years of experience coordinating large-scale events in a higher education setting are required.

Preferred Qualifications:

  • Experience in new student orientation and/or programs strongly preferred.

Performance Expectations - Knowledge, Skills and Abilities:
  • Highly organized and motivated.
  • Excellent communication skills.
  • Proficient with Microsoft Excel and G-Suite, as well as the ability to learn and use Banner, Workday, Salesforce, Cascade, Canva, and MySanDiego Portal.
  • Articulate monthly budgets clearly and comprehensively for staff.
  • Possess the ability to apply various organizational skills in order to prioritize workload effectively, satisfy deadlines under time pressure situations, and work on multiple concurrent tasks.

  • Cooperate as a team member with all offices performing duties essential to the achievement of program goals and learning outcomes.
  • Establish and maintain strong working relationships with colleagues, staff, administrators, students, and the general public.
