JOB SUMMARY

The Practicum Operations Manager oversees all operational aspects of the practicum placement process for the MSW program in the School of Social Work, including both the on-ground and the online platforms. Reporting to the Director of Operations, the Practicum Placement Manager will supervise an Administrative Assistant and collaborate closely with the faculty in the Practicum Department and the 2U placement team.

ESSENTIAL JOB FUNCTIONS

  • Manage information within the department's online databases (e.g. Tevera, Workday, and Salesforce), about student internships, practicum education, and the School of Social Work policies and procedures for faculty, students and internship agency administrators and clinical instructors;
  • Manage practicum evaluations within Tevera to ensure accurate reporting for accreditation;
  • Train practicum faculty, both full-time and part-time, on software;
  • Maintain expert knowledge of the practicum placement process to for both the on-ground and online platforms; with an emphasis on the on-ground platform;
  • Supervise the administrative assistant whose primary focus in on the online platform to ensure commensurability across platforms;
  • Manage the affiliation agreement process, including working with General Counsel to negotiate and execute site-specific affiliation agreements;
  • Manage the practicum placement process for on-ground students, requiring weekly presence on campus, including: collaborating with Admission for incoming students, managing the scheduling of placement interviews, working with practicum faculty to track data on placement progress, working with external agencies on placement availability, and working with students on background checks, CORI clearances, and immunization requirements;
  • Verify placement information for alumni;
  • Manage event logistics for practicum orientation, both for students and new faculty;
  • Serve as the Production Editor for the Field Educator journal.


OTHER DUTIES AND RESPONSIBILITIES
  • Assist the Practicum Director in all practicum responsibilities including planning and facilitating events and seminars throughout the year for students, liaisons and supervisors; create procedures for gathering, measuring and evaluating information (including analysis of student and faculty evaluations);
  • Provide support for Practicum Seminar courses (including setting up course reserves, managing enrollment and logistics);
  • Provide support for papers, grants, and other assignments;
  • Participate in and provide support for monthly Practicum Department meetings;
  • Maintain accuracy of Practicum Department pages of the website;
  • Oversee department email account and communications and triage messages as needed;
  • Provide oversight and training for student workers, including identifying tasks and providing appropriate supervision;
  • Think critically to initiate problem-solving strategies to increase efficiencies for the department's various information systems;
  • Collaborate with Faculty and Staff to support BSW Practicum placement process;
  • Collaborate with the Dean's Office to develop semester appointment letters for adjunct faculty;
  • Collaborate with the SSW Faculty Support Coordinator on practicum registration for students;
  • Other duties as assigned.


REQUIRED QUALIFICATIONS
  • Bachelor's degree required;
  • 3 years of related professional experience required;
  • Excellent organizational and time management skills required;
  • Strong analytical and problem-solving skills required;
  • Clear and effective written and oral communication skills required;
  • Advanced proficiency in the Microsoft suite (e.g. Lookup formulas, pivot tables) required;
  • Advanced proficiency in the Google suite required;
  • Proficiency with virtual meeting platforms required;
  • Demonstrated ability to work both independently and collaboratively required;
  • Demonstrated ability to maintain confidentiality and work with others on sensitive issues required;
  • Proficiency with relational databases required.


PREFERRED QUALIFICATIONS
  • 5 years of related professional experience preferred;
  • Master's degree preferred;
  • Comfort with data management and learning new technology systems preferred;
  • Excellent communication and interpersonal skills preferred;
  • Ability to take initiative and ownership of projects preferred;
  • Prior experience in higher education preferred.

WORK ENVIRONMENT & CONDITIONS/PHYSICAL DEMANDS
  • On-campus, with hybrid eligibility
  • 12 months as applicable.

  • Physical effort/lifting is sedentary to light - up to 20 pounds;
  • The standard work schedule is Monday through Friday, 8:30am - 5:00pm. On very rare occasions, this position (e.g. Commencement week) is required to work in the evening as a part of the job.
