Position Summary
Reporting to the University Registrar and Director of Academic Records, this position is primarily responsible for assisting with the review and maintenance of transfer credits for all undergraduate and graduate students. This role provides excellent service and commitment that supports the business continuity of the Office of Academic Records. The primary location for this position is the Lincoln Center campus. However, at times, it may be required to be present at the Rose Hill campus.
Essential Functions
- Assists with transcripts and transfer credit assignments for all incoming and continuing undergraduate and graduate students (excluding Law School).
- Analyzes and resolves errors, such as but not limited to, discrepancies between transcripts and Transfer Credit Evaluations, incorrect or inconsistent credit conversions, etc.
- Maintains data integrity of complex databases containing transfer institutions and coursework; provides reports and analytics to Academic Records leadership regarding transfer credit assignment to identify any duplicate and inaccurate data.
- Assists administrators with outreach to academic departments to ensure that articulation issues are resolved in a timely manner.
- Coordinates data storage according to the record retention policy.

Additional Functions
- Assists in maintaining and developing transfer documentation training materials and articulation processes, including the production of printed and electronic transfer articulation publications.
- Processes student enrollment transactions according to published policies and procedures.
- Processes student bio-demographic and other record data updates
- Responsible for document management, including scanning/indexing.
- Reviews and processes of general requests related to transfer credits and graduation clearances.
- Conducts student enrollment and degree verification updates for employers and external agencies using National Student Clearinghouse.
- Performs testing of Banner and University business systems during upgrades, enhancements, and production issues.
- Responsible for the PCS graduation clearances and diploma ordering.
- Maintains the integrity and record confidentiality required of the University and FERPA.
Required Qualifications: Education and Experience
- High school diploma or equivalent.
- Minimum of 2 years' of experience in a higher education environment.
Required Qualifications: Knowledge and Skills
- Demonstrated professional writing and strong communication skills.
- Working knowledge of Banner, OnBase Document Imaging, Azure, DegreeWorks Audit/Advising module, WebFocus, PowerBI, Slate or similar software; proficiency in Microsoft Office.
- Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education
Preferred Qualifications
- Bachelor's degree, with 3+ years of experience in higher education environment.
- Familiarity with Degree Works Transfer Equivalency Self-Service tools or other transfer equivalency tools and resources.
- Demonstrated knowledge of FERPA guidelines, AACRAO recommendations, and University academic policies.
- Experience working with information technology to solve technical problems.
