Position Description
Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.
Major/Essential Functions
- Arranges development travel paperwork including processing of travel applications and vouchers for the Director of Development and Assistant Director of Development.
- Assists Director of Development and Assistant Director of Development in fundraising efforts. Facilitates college development activities, stewardship related to department scholarships, and donor relations in the College of Education. Assists in the management of the Director of Development and Assistant Director of Development calendar and donor visit planning.
- Manages the Dean's Advocacy Council. Ensures all members are regularly communicated with by the Dean and Advancement Office. Creates and implements a yearly engagement plan for each member. Manages all details for biyearly 5% meetings. Ensures charter/by-laws are on file with the TTU Office of Advancement and members are coded in the donor alumni database.
- Oversees the Strickling Senior Leaders Scholarship Program. Manages the execution of the Strickling Cording Reception every semester by arranging catering, photography, dcor, IT, etc. Requests a list of qualified recipients throughout the semester. Also collaborates with Scholarship and Finance Office to release funding to students when eligible. Regularly communicates with students to outline eligibility status.
- Plans, coordinates, and executes fundraising activities, including but not limited to serving as social media highlights, and event planning such as the Burkhart Walk for Autism and individualized donor reports. Leads develop strategic outreach for the Burkhart Walk. Organizes promotional efforts for donors: logos, website, event tables. Attends the Walk to engage with community outreach, Burkhart students, faculty and donors. Responsibly collects and deposits all cash gifts from the Walk.
- Serves as the College of Education Advancement Office's liaison to the College of Education Communication and Marketing Office. This includes aligning efforts with the College of Education and ensuring all 5% communication (written, verbal, web, etc.) is in alignment with the Dean's Strategic Plan.
- Assists Director of Development and Assistant Director of Development with donor communications and development strategic planning. Manages and organizes efforts and communications with and related to donors, etc. Oversees copy, editing and review for print and web-based publications and written proposals to individuals, corporations or foundations. Manages the College of Education's Advancement Office web page and social media as needed, in coordination with College's Communications and Marketing office. This includes but is not limited to updating the webpages and creating content to be placed on the website.
- Provides the College's scholarship committee with a list of all donor funded scholarships that includes the scholarship's criteria, endowment fund balance and spendable fund balance. Also provides a recommendation on how much to award from each scholarship. Maintains the progress of documents, reviews and mails out student thank you scholarship letters for all donor funded scholarships after thoroughly reviewing letters for quality assurance.
- Oversees donor fund management and reporting on such donors to funds. Leads stewardship for donor relationships in connection to major donor events such as weddings, birthdays, retirement, promotions, etc.
- Assists in reporting to foundations on funding received annually and bi-annually to the College of Education. Manages donor outreach through the use of ThankView.
Required Qualifications
Bachelor's degree plus two years related experience; OR a combination of education and/or progressively responsible related experience to equal six years.
Preferred Qualifications
Knowledge of the structure and content of the English language including the meaning and spelling of words, roles of composition, and grammar; strong skills in writing and proofreading. Prior experience working in fund development.
