Job Description
The Coordinator of Advising Services reports to and assists the director of Advising and Technology Initiatives within the office of the Associate Vice Provost for Student Success (AVPSS). The coordinator provides student-centered support to college academic advising centers, promotes technology engagement and coordinates campus-wide advising priorities. This position primarily supports the director of advising and technology initiatives with:

1. The execution of strategies and tactics outlined in the academic advising community's strategic priorities,

2. The advising and student success communities engagement with student success technology tools, including training, user support, feedback and planning

3. Year-round advisor training [onboarding and ongoing] on policies, resources, and best practices

4. Coordination between orientation and academic college partners during new student advising for first-time in college and transfer students

5. General support, resources, and programming to undergraduate students on academic planning, academic policies, and campus resources


Responsibilities
Coordination of Campus-Wide Advisor Services

With the Director, coordinate the operations of advising committees (e.g. TennACADA, etc.) for advising and student success.

Serve as the units Comms and Events Liaison and support the development of web content, social media, advisor communications, etc.

Coordinate the development and maintenance of advisor training materials via the learning management system, staff development and/or document management systems.

Assist in coordinating promotion and recognition opportunities within the advising community.

Correspond regularly with DSS Administrative Services to facilitate programming sponsored by the advising committees, work groups, and organizations.

Develop and use extensive knowledge of UTK policies (academic and others) to help advisors navigate academic policies and improve student persistence.

Support the implementation of the advising strategic plan.

Respond to staff inquiries received in the office's inbox and shared phone line and make appropriate referrals to campus and college resources.

Create and maintain confidential, detailed records.

Technology Support

Develop and maintain a working knowledge of technologies in use at the university.

Develop, deliver, evaluate, and update training on student success technologies.

Consult with users to identify problems and document the issue(s).

Collaborate with the CRM Team and OIT to research and resolve user problems.

New Student Academic Advising Services

Coordinate service logistics of incoming students in major change, facilitating course registration and registration inquiries.

Coordinate services for appointment rescheduling and advising support as identified.

Connect incoming students to resources and support provided on campus.

Special Projects

Coordinate campus-wide academic advising initiatives special projects as needed.

Partner with offices in the Division of Student Success on retention and graduation initiatives as appropriate.

Coordinate assessment of Advising and Technology Initiatives and division programs and projects as the office grows to meet the needs of the campus community.

Assist with advising assessment activities as requested.

Participate in professional development opportunities.

Qualifications
Required Qualifications
  • Education:
    • Bachelor's Degree
  • Experience:
    • Bachelor's degree from an accredited 4-year institution
    • 3 years of experience working in higher education
  • Knowledge, Skills, Abilities:
    • Demonstrated knowledge of academic advising and student learning / development theories applied to practice.
    • Excellent oral communication and writing skills.

Preferred Qualifications
  • Education:
    • Master's Degree
  • Experience:
    • Master's degree in higher education, college student development, or related field.
  • Knowledge, Skills, Abilities:
  • Experience with coordinating projects.
  • Experience working in an advising office.
  • Experience teaching or providing training & development content.
  • Experience working in a team-oriented environment.
  • Experience with student or customer service excellence.
  • Administrative and organizational skills with the ability to handle simultaneous projects.
  • Ability to utilize technology that supports both students and professional practice (MS Word, Excel, Learning Management System, Customer Relationship Management, Student Information Systems, Degree Audits, Internet/On-line Resources and Support)

  • Anticipated hiring range: $49,000 minimum
